Minutes of Special Board of Directors Meeting
Suntree East Homeowners Association
August 9, 2016, 6:30 p.m.
Members convened at
Suntree East Via Linda entrance

Holly McCune, President, called the meeting to order at 6:30 p.m.  A quorum of directors was present.


The purpose of the meeting was explain the bids for improvements to the front entrance as suggested by the Suntree East architectural committee and in response of being non-compliant with Scottsdale Ranch.

MOTION:  No motion was made at this time.

MOTION:  It was moved and seconded to adjourn the meeting at 7:15 p.m.  APPROVED.

July 18, 2016

Holly McCune, President, called the meeting to order at 6:30 p.m.  A quorum of directors was present.

Homeowners’ Open Forum:
·         Concerns brought to the Board from homeowner’s present included possible changes to the front entrance, plant replacement and tree removal.

Approval of Minutes:
Noel moved to approve the minutes from April, seconded by Linda, motion carried.
Holly moved to approve the minutes from May as amended, seconded by Steve, motion carried.   

President’s Report:
·         A meeting has been scheduled with Scottsdale Ranch to review the plants that were installed at the front entrance.
·         Water leak scheduled for repair in front of 10645 Fanfol.
·         Palm trees will be trimmed by Groundskeeper. Timeframe is prior to the end of the month.

Finance Report:
·         Future projects will be scheduled based on the RDA Study.
·         Irrigation costs are above budget and repairs will be ongoing due to the nature of the system.
·         Water continues to be under budget

Committee Reports:

a.       Pool Committee
·         Art will speak to the pool company in regards to maintaining the pool temperature.
·         Pool tiles are in need of repair/replacement which will be done in the Fall.



Old Business:
·          Home Improvement Book & Guideline Updates – Discussion tabled until the August meeting.

·         Front Entrance Renovations –
o   After much discussion regarding proposed possible changes for the front entrance, the topic was tables until the August meeting.

New Business:
·         Board Secretary Position- With the Board Secretary position currently open, Holly asked that the board members consider the position and what it entails before she officially asks for a volunteer.

May Board meeting minutes 2016 Approved

Minutes of Board of Directors Meeting
Suntree East Homeowners Association
May 16, 2016
6:30 p.m.
Scottsdale Ranch Community Center


Members Present:                          Brad Munger, Director
                                                                Noel Iverson, Treasurer
                                                                Steve Grumkoski, Director

Holly McCune, President, called the meeting to order at 6:30 p.m.  A quorum of directors was present.

Homeowners’ Open Forum:
·         No concerns were brought up by the homeowners present.

Approval of Minutes:
April minutes were not available for review. They will be reviewed and approved at the next meeting.

President’s Report:
·         A meeting has been scheduled with Cox to discuss reimbursement for the sleeve installation.
·         Reports of Bobcats in the community. Fish & Game will not remove. It was recommended that homeowners carry air horns when out walking.

Finance Report:
·         Concern expressed about the 8-9 delinquent homeowners that have not paid the special assessment to date.  They are all with the attorney and/or collections.

Committee Reports:

a.       Home Improvement Committee
·         There are currently three homeowners working on a character study for Suntree East. Study will identify architectural style and characteristics of.

b.      Pool Committee
·         Water level was too high; float has been adjusted.
·         Pool tiles are in need of repair/replacement. Art has met with the same company that completed the pool deck work to review what might be needed. Awaiting quote for repair with a target start date at end of November 2016.

c.       Rules & Regulations Committee
·         Steve, Lisa and Brad volunteered to review current Rules & Regulations for opportunities to update/change current guidelines.


d.      Tree/Shrub Committee
·         Palm trees need to be trimmed.

Old Business:
·          Front entrance renovation discussion -
o   Additional signage-Nancy Brandl will be contacted to obtain status of signage for entry gates.
o   Roof Tile replacement for cut outs on Via Linda and repairs on Mountainview - Lisa is currently obtaining quotes for the repair/replacement of the tile at entry gates.
o   Landscape- The landscaping at the front entrance is doing well. Palm trees are healthy and plants/flowers are in bloom.

·         Common Walls –
o   Outer repairs and paint have been completed. The tops of the walls will be filled in.

New Business:
·         Open Board Position- Noel moved to appoint Linda Wood to the open position on the Board of Directors, seconded by Art, approved.

Holly McCune, President, called the meeting to order at 6:30 p.m.  A quorum of directors was present.

Homeowners’ Open Forum:
·         Concern about SCRA restrictions regarding on-street parking in Suntree East.
Approval of Minutes:
MOTION:  It was moved and seconded to approve the minutes of the regular board meeting on
March 21, 2016.  APPROVED.

Finance Report:
·         Possibility of utilizing small claims court for collecting delinquent accounts.
·         Attorney is still pursuing delinquent accounts.

Committee Reports:

a.       Home Improvement Committee
·         Linda Wood will join the Home Improvement Committee

b.      Pool Committee
·         Art has targeted the end of November/beginning of December for the repairs to the pool tiles. Project should take no longer than two weeks.

c.       Tree/Shrub Committee
·         Quote from Groundskeeper to trim the trees on Mt View was reviewed. Noel moved to accept the quote, seconded by Art, motion carried.
·         Lisa and Joe complied a listing of those front yards without trees and possible replacement trees.
·         Joe will address the empty planters on Mt. View



Old Business:
·          Front entrance renovation discussion -
o   Jenkins to provide a quote to install irrigation at the front entrance.
o   Date Palm at entrance seems to be struggling. Joe will watch and advise if any action is needed.

·         Common Walls –
o   Outer repairs and paint have been completed but filling in and covering the open blocks was not included in the contract. GNS will completed the repair.

New Business:
·         Pool Furniture- The white straps on the chaise lounges will be replaced.
